# The email to IT

Two questions. About forty seconds. Send it before you paste work email into any assistant.

It is a better outcome than quietly pasting a redundancy list into a chatbot — and if the answer comes
back "no," that is the control working, not an obstacle to route around with a personal account.

**Subject:** Quick question — approved AI assistant, and client correspondence

Hello,

Two quick questions so I do not get this wrong.

1. Is there an AI assistant we are approved to use for work?

2. Am I allowed to put client correspondence into it?

I am looking at using one to triage my inbox — reading messages and telling me what needs action. I
would rather ask first than find out afterwards.

Thanks,

## If you want to give them more to work with

Add this paragraph. It makes the answer faster and shows you have thought about it.

> For context: what I want to do is paste the text of ten or so messages into an assistant and have it
> tell me which need action and why, with the exact sentence quoted back. I do not need it connected to
> my mailbox and I am not asking for standing access to anything. If there is a tool that is already
> approved, I will use that; if client correspondence is off-limits in all of them, I will practise on a
> sample mailbox with nothing real in it instead.

## While you wait

Do not wait. Rungs one and two — the searches and the rules — need no permission and no tool at all, and
rung three runs perfectly well on the sample mailbox.
